Microfilm Loan Procedures

The Microfilm Loan Program enables researchers who live outside the Winnipeg area to borrow certain records held by the Archives of Manitoba, including the Hudson's Bay Company Archives. You can do your own research and make your own copies.

Who can borrow microfilm

Requests for loan must be submitted through an institution, such as a library, archives or genealogical society, which has a microfilm reader. Canadian and non-Canadian institutions may borrow microfilm on your behalf.

What can be borrowed

Government records and Private records: Records on the list of microfilm available for loan or purchase may be borrowed. Researchers may also search Keystone for to find microfilm numbers for some holdings.

Making copies from microfilm

Copies may be made, for research purposes, by the researcher or the borrowing institution. For more information, see Copy and Reproduction Services.

How to borrow

Borrowing institutions must send their orders directly to the Archives of Manitoba by one of the following methods:

The name of the researcher must appear on the request form.

Borrowing institutions assume responsibility for borrowed material including any damage apart from normal wear.

How many reels may be borrowed

A maximum of three reels per person may be borrowed at one time, for a period of four weeks.

Cost

There is no charge to borrow microfilm. The Archives of Manitoba covers the cost of mailing to the borrowing institution; the borrowing institution is responsible for the return postage (in Canada: First Class Mail Prepaid; outside Canada: Air Mail Prepaid).

How to return the microfilm

  • Microfilm must be re-wound onto Archives of Manitoba reels before being returned.

  • Microfilm should be returned in the protective, reusable cardboard containers in which it is received. 'Jiffy Bags' are not suitable and should not be used.

  • Microfilm returned from borrowing institutions outside Canada must be clearly marked EXPOSED MICROFILM FOR EDUCATIONAL USE.

  • For the convenience of borrowing institutions, a return address label is provided with the microfilm.
